How JQ Motorhomes collects, uses and protects your personal data.
Your privacy matters to us. This policy explains what personal data we collect when you enquire about or hire our motorhome, why we need it, how long we keep it and what your rights are. We will never sell your data or share it with third parties for marketing purposes.
The data controller responsible for your personal data is:
JQ Property & Rentals Ltd trading as JQ Motorhomes
Walton-le-Dale, Preston, Lancashire
Email: Jqmotorhomes@outlook.com
Phone: 01772 627933
As the data controller, we determine the purposes and means of processing your personal data in connection with the hire of our motorhome.
When you make an enquiry or booking, we collect the following personal data:
- Full name
- Home address
- Email address
- Phone number
- Date of birth
- Driving licence number
- DVLA check code (to verify your licence and endorsements)
- Copies of documents provided as proof of address (e.g. utility bills, bank statements)
- Copy of your driving licence
- Payment information (processed securely via our payment provider — we do not store full card details)
We may also collect limited technical data if you visit our website, such as your IP address and browser type, via standard analytics tools.
We collect and use your personal data for the following purposes:
- To process and manage your booking — including confirming availability, taking payments and managing your hire period
- To verify your eligibility to hire — including checking your driving licence, age and endorsements as required by our insurance policy
- To comply with our insurance requirements — our insurer requires us to verify driver details before cover is confirmed
- To communicate with you — sending booking confirmations, reminders, payment requests and any updates relating to your hire
- To comply with legal obligations — including keeping financial records as required by HMRC
- To protect our property — in the event of damage, loss or a dispute arising from a hire
Under UK GDPR, we rely on the following legal bases to process your personal data:
- Contract performance — processing is necessary to fulfil our hire agreement with you, including verifying eligibility, taking payment and managing your booking
- Legal obligation — we are required to retain certain financial records and comply with insurance conditions
- Legitimate interests — we have a legitimate interest in protecting our vehicle and business from fraud, damage or misuse, provided this does not override your rights
- Consent — where we ask for your consent for a specific purpose (such as marketing communications), you may withdraw it at any time. Website analytics only runs if you accept analytics cookies, and you can withdraw that consent at any time in Cookie settings
We do not sell your personal data. We may share it only with the following third parties, and only where necessary:
- Our insurance provider — to confirm driver eligibility and process any claims
- Our payment processor — to process deposits and hire payments securely (e.g. Stripe or PayPal). These providers process data under their own privacy policies and are bound by data protection law
- Our booking system provider — SuperSaas, which stores booking data on our behalf as a data processor
- Google — provides Google Analytics for this website and only receives visit data if you accept analytics cookies
- DVLA — we use the government's online licence checking service to verify your driving record
- Law enforcement or legal authorities — where we are legally required to do so
All third parties we work with are required to handle your data securely and in accordance with UK data protection law.
We retain your personal data only for as long as necessary for the purposes set out in this policy:
- Booking and hire records — retained for 6 years after the hire period ends, in line with HMRC requirements for financial records
- Driving licence and identity documents — securely deleted within 3 months of your hire period ending, unless required for an ongoing insurance claim or legal dispute
- Enquiry data (where no booking is made) — deleted within 6 months of the enquiry
- Payment records — retained for 6 years as required by law
After the applicable retention period, your data will be securely deleted or anonymised.
We take appropriate technical and organisational measures to protect your personal data against unauthorised access, loss or disclosure. These include:
- Storing documents and booking records securely with access limited to the business owner
- Using reputable, encrypted payment processing services — we do not store full card details
- Using password-protected systems for all booking and communication tools
- Securely deleting documents once the retention period has passed
In the unlikely event of a data breach that is likely to affect your rights and freedoms, we will notify you and the Information Commissioner's Office (ICO) without undue delay.
